Job Description: Sales Coordinator – Exports

Role Objective
The Sales coordinator – Exports will manage both domestic and export sales coordination,
ensuring seamless order processing, accurate documentation, effective client communication, and smooth shipment execution.
The role requires strong proficiency in CRM, SAP, and Maple systems, along with export compliance and data accuracy skills.
Key Responsibilities
• Handle end-to-end coordination for domestic and export orders from enquiry to dispatch.
• Prepare and verify export documents including Commercial Invoices, Packing Lists, COO, BL/AWB, Shipping Bills, and bank documentation for LC and advance payments.
• Coordinate with freight forwarders, CHA, and banks for shipment execution, customs clearance, and payment realization.
• Create and maintain quotations, Proforma Invoices, and purchase orders in CRM/SAP/Maple systems.
• Follow up with customers for order confirmation, payment schedules, and delivery status updates.
• Collaborate with internal teams – Production, Purchase, Logistics, Accounts, and Quality – for timely order fulfillment.
• Prepare and update MIS reports, order trackers, and dispatch summaries for management review.
• Maintain data integrity and ensure accuracy in system entries, documentation, and payment records.
• Support the sales team with pricing, tendering, and comparison sheets for freight and logistics.
• Ensure compliance with Incoterms, HS codes, export-import regulations, and company policies.
• Assist in after-sales coordination, including client feedback, warranty cases, or documentation support.
Desired Candidate Profile
• Education: Graduate / Post Graduate in Commerce, Business Administration, or International Business.
• Experience: 3–7 years of experience in Export Coordination / Sales Support / Documentation in a manufacturing or engineering industry.
• Technical Proficiency:
o Working knowledge of CRM, SAP, Maple, MS Excel (Advanced), and ERP systems.
o Familiarity with export-import documentation, LC processes, and shipping procedures.
• Core Skills:
o Excellent communication and coordination skills.
o Strong follow-up and multitasking ability.
o Accuracy in documentation and data entry.
